What steps do I need to take in order to schedule core use?
If you are an internal user (Washington University in St. Louis faculty, staff and students), first create a user account by contacting us. We will send you PI Authorization of Expenditures-IVIC to create a user account for you. Please have your PI add your name to this form, sign and return it to us. The signed copy of this form must be on file before you can use the core services and equipment. All users start as Tier II and we will make reservations for Tier II users during business hours (9 AM to 5 PM CST, Mon-Fri). Once you become a Tier III user, we will send you the login information to use our online reservation system as well as a key to the core. Tier III users are allowed to make a reservation during off hours.

How do I know whether I am a Tier II or Tier III user?
All new users start as a Tier II user and get promoted to a Tier III user once they complete at least 12 hours training and pass a proficiency test. You will be notified via email when you become a Tier III user. The active list of qualified Tier III users is posted in the IVIC. We reserve the right to revoke the Tier III status if we determine that the user is not following the standard operating procedures.
How do I change or cancel my existing appointment?
To request modification or cancellation of your reservation, please contact us by either using the contact form on our website or by sending an email to firstname.lastname@example.org. We require 48 hours notice to cancel your reservation in whole or in part. Cancellation/modification requests of your reservation with less than 48 hours notice are subject to a cancellation fee as shown below.
- Less than 24 hours of notice: Full fee based on the service appointment time. For example, if you reserved the two-photon scope for 4 hours, you will be charged for 4 hours.
- Between 24 hours and 48 hours: Half the rate for the duration of your appointment. For example, if you reserved the two-photon scope for 4 hours, you will be charged for 2 hours.
If you can arrange to swap your reservation with another user, your cancellation fee will be waived and they will be charge for the reservation time.
How do I make an appointment in less than 48 hours notice?
If your desired appointment time is less than 48 hours, the appointment calendar won't allow you to make an appointment. However, you can request making an appointment during that time by sending an email to email@example.com or calling 314-362-3176. If your desired time is available during that period, admin will make an appointment for you and you will get an email notification.
